ScoutLab is operated by Yovan Gabric, REALTOR®, of Royal LePage Pinnacle Real Estate, Brokerage (“we”, “us”). This policy explains what personal information we collect through ScoutLab, why, who sees it, and the choices you have. We follow Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada’s Anti-Spam Legislation (CASL).

What we collect

• Contact details you give us: your name, email address, phone number (optional) and any message you write when you request a showing, a market analysis, a renovation walkthrough, or ask to talk to us.
• The home you asked about: the listing (MLS® number, address, price) you were looking at when you contacted us.
• Saved searches: your email address and the search filters you chose (for example city, price range and bedrooms), so we can email you new matching listings.
• Your consents: what you agreed to (email, and optionally text messages) and when.
• Where you came from: the web page and referring link, and advertising tags in the link you clicked (such as utm_source, utm_campaign and the Meta click ID), so we know which ads work.
• Technical data: your IP address and basic request information in our server logs and spam controls.

You can browse ScoutLab without giving us any of this. We do not require you to create an account to search homes.

Why we use it

• To respond to your request and arrange showings, analyses and walkthroughs.
• To email you new listings that match a search you saved.
• To follow up about real estate, by email, and by text message only if you separately agreed to texts.
• To measure which advertising and pages bring people to ScoutLab, and to keep the site secure and free of spam.
• To meet legal and regulatory duties, including those of a real estate brokerage in Ontario.

Consent and how to withdraw it

We ask for your express consent before we send marketing email or text messages. Email consent is requested separately from text-message consent. Every alert email has an unsubscribe link that works immediately. For texts, reply STOP. You can also withdraw consent at any time by contacting us (details below). Withdrawing consent does not affect messages already sent.

Who we share it with

We do not sell your personal information. We share it only with the following, and only as needed to run ScoutLab:

• Royal LePage Pinnacle Real Estate, Brokerage, the brokerage I practise through, which is responsible for my real estate activities.
• Service providers that host the site, store our records, send email and manage follow-up and customer relationships (our website host, database, email provider and customer-relationship platform, HighLevel). They may only use your information to provide their service to us.
• Listing and map providers. Listing data comes through Repliers from the Toronto Regional Real Estate Board (TRREB). Map tiles are loaded from OpenStreetMap, which receives your IP address when a map displays.
• Authorities, where the law requires it.

Where it is stored

Some of our service providers store or process data outside Canada, including in the United States. Your information may therefore be accessible to courts and authorities in those countries under their laws. We use providers that offer contractual and security protections for it.

How long we keep it

Saved searches are kept until you unsubscribe. Enquiries and contact records are kept for as long as needed to serve you and meet our legal and record-keeping duties, after which they are deleted or anonymised. TODO: confirm the retention period with the brokerage (real estate records are often kept for several years).

Cookies and advertising

ScoutLab itself does not currently place advertising cookies. If we add advertising or analytics tools (for example the Meta Pixel), we will update this policy and ask for your consent where the law requires it before they run.

Your rights

You may ask to see the personal information we hold about you, to correct it, or to have it deleted, and you may withdraw consent at any time, subject to legal limits. We will respond within 30 days. If you are not satisfied, you may complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca).

Safeguards

We use access controls, encrypted connections and reputable providers to protect your information. No system is perfectly secure, and we will tell you and the regulator about any breach that creates a real risk of significant harm, as the law requires.

Children

ScoutLab is not directed at anyone under 18, and we do not knowingly collect their information.

Changes to this policy

We will post updates on this page and change the date at the top. If a change materially affects how we use your information, we will ask for your consent again where required.
